Access to Student Education Records, Elentra and MedOasis

Per USC policy, only university officials with a legitimate educational interest will be granted access to medical student education records.

“University officials” typically include anyone employed by the university in an administrative, supervisory, academic, research, or support staff position; any person elected to the Board of Trustees; students serving on official university committees; and people employed by or under contract with the university to perform a specific task.

A university official has a “legitimate educational interest” if the official needs to review an education record in order to fulfill their professional responsibility.

Requesting Access

Anyone requesting access to a student’s education records must make a written request to the KSOM Registrar.  The request will be reviewed and acted upon in accordance with FERPA guidelines. The Vice Dean for Medial Education will be consulted as needed.

Depending on the level of access needed, FERPA training may be required.  Anyone needing access to MedOasis or Elentra will be required to submit a User Account Form.
